Appeal Procedure for Space Committee Decision
Definitions
Day — A day other than a Saturday, Sunday, statutory holiday, or other holidays as declared by the University for all administrative, technical and technical support staff. For the purpose of this policy a day does not include the Christmas break being December 25 – January 2.
Space Committee — A committee established by the Dean of Medicine to be responsible for all matters related to space management and the establishment of priorities for space assignment within the Faculty of Medicine (FoM).
Space Committee Coordinator — An administrative staff member assigned by the Chair, Space Committee
Procedure
Overview
The Space Committee was established by the Dean of Medicine to be responsible for all matters related to space management and assignment of space within the Faculty of Medicine (FoM).
All recommendations and decisions made by the Space Committee are governed by the appropriate collective agreements and the principles of space provision as specified in the Memorial University Space Standards and Guidelines and the Memorial University Space Policy.
Purpose
To provide individuals with a fair, equitable and transparent process for appealing decisions made by the Space Committee.
Scope
All members of the FoM.
Procedure
A.0 Reconsideration by the Space Committee
A.1 An individual who does not agree with a decision of the Space Committee can contact the Chair, in writing, and request a reconsideration meeting with the Space Committee to discuss concerns and possible alternatives.
A.2 After the reconsideration meeting, the Space Committee may:
A.2.1 reiterate its original decision;
A.2.2 grant the original space request of the individual; or
A.2.3 provide alternate solutions.
A.3 The decision of the committee is conveyed in writing to the individual within ten (10) days after the reconsideration meeting.
B.0. Appeal to the Dean of Medicine
B.1 An appeal request can be submitted, in writing, to the Dean of Medicine within ten (10) days of receiving the Space Committee decision.
B.1.1 The appeal request must be addressed to the Dean of Medicine with a copy to the Space Committee Chair stating the grounds for the appeal.
B.1.2 The appellant may include relevant documentation to support the appeal.
B.2 The Dean of Medicine and the Space Committee Chair will review the appeal and relevant documentation.
B.3 The Dean of Medicine may:
B.3.1 Uphold the decision of the Space Committee; or,
B.3.2 Grant the request of the appellant, with or without modifications.
B.4 The decision of the committee is conveyed in writing to the appellant within thirty (30) days of the Dean of Medicine receiving the appeal request.
B.5 The decision made by the Dean of Medicine at this stage is final.
