ACES – Accessibility Centre & Education Support
Clockwork & Academic Accommodations (For Faculty)
ACES services are available for both in-person and remote courses. Students with disabilities are required to register at ACES to ensure accommodation requests are implemented.
The following is an overview of procedures for on-campus courses and for courses being administered through remote/online learning. (NOTE: if your course is a hybrid of on-campus and remote learning, there may be some overlap between the two procedures. You can contact ACES directly for clarification about how accommodations will be administered in your course at gcaces@mun.ca)
Course Syllabus
We recommend you include the following note in your course syllabus, so students know they must register at ACES to receive accommodations:
If you have a disability or another health/physical condition that requires special arrangement or consideration while you are enrolled in this course, please contact our Accessibility Centre & Education Support (ACES) unit, phone 637-6232, e-mail gcaces@mun.ca – to arrange appropriate accommodations in a confidential setting. ACES is a part of the Learning Centre and is located in AS 234. Clockwork
All accessibility services offices at MUN utilize an online, data management system called Clockwork for the secure storage of confidential information and notification of accommodations to faculty members. It consists of three parts:
- Unit System managed by Accessibility Services staff
- Student Portal specific to each individual student
- Faculty Portal specific to each faculty member

Review and Accept Accommodation Letters from Students:
- Faculty members will receive an email notification when a student submits an accommodation letter for your course.
- Click the link in the email to access the Clockwork portal. You may be prompted to login with your MUN credentials.
- Select Courses and choose the current term from the respective list
- Click Accommodation letters to view the accommodation letter for the student.
- Click Review PDF Letter to view or save a copy of the student’s accommodation letter.
- Check the acknowledgement and select Submit to indicate that you have received and reviewed the accommodation letter.
Schedule, Upload & Deliver Exams (for on-campus courses ONLY)
- Launch the Faculty Clockwork Portal
- Select Courses and choose the current term from the respective list.
- Click Tests and Exams for a specific course, and create a test event.
- Enter a test date by following the prompts and provide testing details.
- Upload a digital copy of the respective test, quiz, or in-class assignment for students who need to use assistive software (i.e., screen reading software).
- Bring hard copies of your respective test, quiz, or in-class assignment for the student(s) who need to write their exams in ACES.
Western Regional School of Nursing (WRSON)
WRSON Staff is responsible for administering all NURS exams for students who require accommodations. Therefore, ACES do not require copies of NURS exams for students who require accommodations.
Remote/Online Courses
ACES will not require copies of your exams if you are offering your course remotely/online. Here are your responsibilities when it comes to accommodation exams in these courses:
- If a St. John’s campus student is registered in your course, the e-mail you receive will be from the Glenn Roy Blundon Centre.
- Accommodations listed on the forms, sent from both ACES and the Blundon Centre, have been verified by that centre. If there is a concern about an accommodation about the integrity of the course, please contact the respective centre.
- For exams being offered through remote/online learning, the administration of Extra write time (i.e., time and a ½, double time) is as follows:
-If your assessments are timed exams run through Brightspace, please ensure that the time is extended for these students.
-If your assessments are timed exams that are in-person for an online course, CITL staff are responsible for looking after exam accommodations.
-If your assessments are take-home exams, plan to extend the amount of time to adjust for the necessary accommodation.
-If you have adjusted the writing time of your exams so that all students are receiving additional time, it is recommended that you make this known in your course syllabus to avoid confusion, and requests for extra time.
Accommodation Specific Information:
The following are suggestions for the provision of some of the more commonly requested accommodations for both on-campus and remote based courses:
- If a reader and/or a scribe is required, this accommodation will be setup by ACES staff.
- If adaptive technology is required, this accommodation will be managed through ACES.
- For students requiring leniency for assignment due dates, please review ACES Guidelines for Requesting Due Date Leniency Accommodation
- For students requiring clarification of instructions, faculty will need to be available to answer questions. This can be done through phone, e-mail, or video. It is highly recommended that faculty members provide contact information to ACES Staff.
- Requests for tutors will be handled by ACES. However, you may be contacted to help identify strong students who can act in these roles.
- For students requiring note-taking assistance, please review ACES Guidelines/Responsibilities when Note-Sharing or Note-Taking is an Accommodation
- Additional writing time for exams being offered through remote learning:
-If your assessments are timed exams in Brightspace, please ensure that the time is extended for these students.
-If your assessments are take-home exams, plan to extend the amount of time to adjust for the necessary accommodation.
-If you have adjusted the writing time of your exams so that all students are receiving additional time, please state in your course syllabus to avoid confusion, and requests for extra time
h. There may be some circumstances where a student is permitted to have an Emotional Support Animal (ESA) in the classroom with them. Please review the Guidelines for Service and Support Animals on Campus and in Classrooms procedure for more information.
i. Our campus has been experiencing more challenges with students exhibiting disruptive and concerning behavior during class. Please note that, unless ACES staff notifies faculty prior to the start of the semester about addressing the behavioral issues of a respective student, these matters would fall under the MUN Code of Student Rights and Responsibilities and be forwarded to the appropriate office (i.e., Dean, University Registrar, Campus Enforcement and Patrol, Counselling and Psychological Services).
j. Just as a reminder, all student accommodation information is confidential. Therefore, any discussions regarding a student’s accommodation should ideally be done in private, and be cognizant that any information about a student’s accommodations or disability cannot be disclosed without the respective student’s consent.
We will, undoubtedly, encounter unexpected situations in the provision of academic accommodations. When this occurs, please contact us immediately. ACES is committed to ensuring students are given reasonable accommodations in a timely manner, while supporting faculty in the process.
