SECRETARY (BAND LEVEL 3)

DUTIES

Reporting to the Manager of Academic Affairs, the successful applicant will perform secretarial duties requiring initiative and judgment with minimum supervision. Duties include typing letters, forms, reports and other documents from rough draft and/or template; maintaining Dean’s office files and contact information; typing presentations and spreadsheets; receiving and entering data to the faculty database and generating required reports; coding correspondence for filing; maintaining computerized records management system for general filing; conducting file searches; managing emails for filing; replying in person, by telephone or written correspondence to inquiries; updating mailing lists and statistical information; conducting large mail outs; assisting with social functions; providing administrative support to the Manager of Academic Affairs including scheduling meetings, taking meeting notes, and responding to inquiries; backfilling the Academic Affairs Coordinator position; and performing other related duties as required.

 

QUALIFICATIONS

Experience (1-3 years) in secretarial or administrative work; graduation from a program in office administration; or any equivalent combination of experience and training. Knowledge of Microsoft Office applications including Word, Power Point, and Excel are required. Knowledge of MS Access, and experience with faculty appointment processes are assets.

 

SALARY                                  $46,134 - $54,114 per annum (Non-Bargaining)
