HOUSING COORDINATOR (BAND LEVEL 8)

Distributed Medical Education

Faculty of Medicine

(Full-time, Contractual position until November 15, 2026)

DUTIES

Reporting to the Coordinator, Distributed Medical Education (DME) Office, the successful applicant will be responsible for providing leadership in planning and ensuring the availability of appropriate housing for learners in medical education programs in the Faculty of Medicine, including medical learners, interns and residents. Responsibilities include: planning, implementing and evaluating learner housing services; coordinating the availability of housing in concert with the placement of medical learners, interns and residents in Newfoundland and Labrador as well as other provinces and territories; developing housing specifications including type, location, and quantity; coordinating the preparation, evaluation and award of tenders and Requests For Proposals (and related contracts/rental agreements) for housing/residential housing; maintaining effective operational control by managing contracts and rental agreements, and enforcing   compliance of both landlord and learner obligations – including periodic site visits to verify landlord offerings; maintaining effective financial control by confirming appropriateness of expenditures and closely monitoring the housing budget; assisting with regional travel claims from medical learners as well as processing claims for Black Bag and Community Engagement rotations; developing and maintaining effective working relationships with various Faculty of Medicine and University units, Department of Health, NL Health Services, learners and landlords; acting as the housing liaison for learners and landlords; maintaining up-to-date learner housing statistics and ensuring timely reporting; participating in the review and development of learner housing policies and procedures; responding to operational matters as they arise and where appropriate, advising faculty leadership of risk management issues in a timely manner and recommending strategies to manage risk; and performing other related duties as required. Some travel will be involved, and this position will be expected to accept calls from learners or landlords outside regular working hours.

 

QUALIFCATIONS

Experience (3-5 years) in the coordination of housing services within a post-secondary student-support, research and development environment; graduation with a four-year college or university degree in Business, Public Administration or related field; or any equivalent combination of experience and training. Strong skills in project management including analytical and problem solving, the ability to work independently, and experience with Microsoft Office Suite and Outlook are required. Familiarity with university policies and procedures, as well as provincial legislation including the Residential Tenancies Act and Public Procurement Act are assets.

 

SALARY                                   $63,099 – $86,042 per annum (Management and Professional)
