INTERMEDIATE SECRETARY (BAND LEVEL 4)

Faculty of Engineering and Applied Science

(Contractual Position to June 13, 2028)

DUTIES

The successful applicant will perform secretarial duties requiring initiative and judgment to provide administrative support to the Associate Dean of Graduate Studies and the Faculty’s Office of Graduate Studies (EGO). Duties include maintaining the Associate Dean’s calendar; acting as secretary to standing and ad hoc committees; preparing and circulating minutes and agendas; arranging logistics; formatting presentations; screening visitors; drafting and preparing letters, memos, and reports; assisting students with logistical and outreach items; liaising with other University departments on a regular basis; arranging travels; processing mail; replying in person, telephone, or correspondence to enquiries; assisting with the management of student spaces and travel requests; facilitating recruitment and promotion, especially through social media and internet; maintaining a filing system; providing support to other EGO staff members; and performing other related duties as required.

 

QUALIFICATIONS

Experience (3 years) in secretarial work; completion of a diploma in office administration or most courses towards a business or engineering degree; or any equivalent combination of experience and training. The ideal candidate will have excellent interpersonal skills as well as strong organizational, written, and oral communication skills. Knowledge of generating reports from Banner, OnBase, FLAC, or any similar ERP software applications; and experience working with Microsoft Windows would be considered asset. Preference will be given to candidates who have experience in dealing with graduate students, both Canadian and international.

 

SALARY                                   $49,308 - $57,841 per annum (CUPE Local 1615)
