CONFERENCE SERVICES OPERATIONS SUPERVISOR (BAND LEVEL 3)

DUTIES

Reporting to the Conference Services Manager, the Conference Services Operations Supervisor will perform complex and difficult clerical work requiring the exercise of considerable independent judgment. Duties include coordinating set-up of the Conference Services Front Desk  (overseeing installation of computers and phone, including stocking necessary office supplies); assisting with hiring, training, and overseeing the day-to-day duties of custodial staff and summer students for the conference season; coordinating transfer of equipment and supplies from storage to campus for annual set-up; maintaining and/or submitting accurate payroll records for all custodial staff and summer students; liaising with Facilities Management (FM) department regarding staff call process; scheduling conference custodial staff in consultation with FM; providing FM with daily room cleaning schedule; preparing weekly work schedules including preparing and submitting work orders to Maintenance Department; performing daily review of room cleaning checklist; advising FM on maintenance required and supply inventory; monitoring daily cleaning quality and practices of custodial staff; submitting hours of work to the Department of Human Resources and preparing overtime reports for each custodial conference worker; preparing work plans for conference workers to ensure facilities are set-up for special events; liaising with FM and Housing Department regarding the coordination of final room inspections and pre-conference cleaning or maintenance; coordinating the return of equipment or supplies to storage at the end of the conference season; liaising with and responding to conference groups and/or clients; ensuring equipment or supplies inventory is recorded; collecting statistical data for weekly reporting to Conference Services Manager; and performing other related duties as required.

 

QUALIFICATIONS

Experience (3-5 years) working in Facilities Management and/or the hospitality industry, including experience training and supervising staff; graduation from a two-year office or business administration program is required; or an equivalent combination of experience and training will be considered. Excellent computer knowledge (Microsoft Windows based applications) is essential for this role. Experience working in an academic environment will be an asset.

 

SALARY                                   $47,057 - $55,196 per annum (Non-Bargaining)
