DUTIES
The Intermediate Secretary will perform advanced secretarial duties requiring initiative, independent judgement and confidentiality in support of the Head and the Department. Duties include providing proactive secretarial support to the Head; managing the Head’s calendar; managing incoming mail and replying in person by telephone, email, or correspondence to inquiries; maintaining electronic and hard files pertaining to departmental correspondence; scheduling meetings and preparing agendas; recording and transcribing the minutes of faculty meetings; providing support for promotion and tenure committees, search committees, and maintaining confidential associated files; processing the hiring of per course, cross, joint, adjunct, postdoctoral appointments, and visiting scientists; processing all departmental travel; preparing reimbursements; keying journal entries for approval; inputting staff leave through Banner HR; keying teaching assignments for each semester; coordinating textbook orders and room bookings; coordinating the submission of grades; assisting with the Job Lecture and other special events; maintaining the annual space report; and performing other related duties as required.
QUALIFICATIONS
Experience (3-5 years) in secretarial work; completion of a two-year office or business administration program is required; or an equivalent combination of experience and training may be considered. The ability to work in a confidential, fast-paced environment is essential, as are proficiency in Microsoft Office applications and familiarity with post-secondary administrative programs. The ideal candidate will possess excellent communication, organizational, and interpersonal skills.
SALARY $50,294 - $58,998 per annum (Non-Bargaining)
