OnBase
OnBase, by Hyland, is Memorial University’s electronic document management solution and combines document imaging with electronic document management tools to capture, preserve and deliver documents in digital form. OnBase is used throughout the university, in human resources, financial services, student admissions, academic support services and many other areas.
Since 2019, Human Resources has been using OnBase to manage HR records. This includes a number of projects to digitize paper-based records, such as personnel, position and competition files. OnBase is currently used to manage documents related to 12 different HR Records Classes as outlined in MUNCLASS.
In recent years, Human Resources has continued to implement process improvements using OnBase workflow, including replacing the paper-based staff extension process with the Staff Extension Workflow and managing HR requests and changes in HR Case Management Workflow.
Department User Account Setup
Complete the “Request for OnBase Access - Human Resources" form found under the Employees tab, on the Human Resources channel on my.mun.ca.
Training
A number of procedure documents and quick reference guides for Administrators will be available soon under the Employees Tab of the Human Resources channel on my.mun.ca. Online training sessions are offered twice a year. Email the HR Records Centre to register for the next training session.
