DFM Travel Policy for Full-time Faculty

Subject to availability of financial resources and at the discretion of the Chair, the Discipline of Family Medicine provides financial support for full-time GFT faculty to attend relevant conferences in the following priority:

1. Those with major educational and administrative responsibilities* will be supported to attend national meetings      that relate to their roles. Presenting scholarly works at these meetings is encouraged.

2. Those who are attending the conference for the purpose of making a presentation, facilitating a workshop, or presenting a poster. 

The DFM will sponsor selected faculty to a maximum of $2,500.00 towards the cost of attending a conference, or a maximum of $3,500.00 for international travel.

3. Those attending a conference primarily for other purposes related to the discipline.

The DFM will sponsor selected faculty to a maximum of $2,500.00 towards the cost of attending a conference, or a maximum of $3,500.00 for international travel.

For all DFM-sponsored travel, the following will be reimbursed as per Memorial University Travel Guidelines:

  • Most economical ground transportation to and from your destination. Return airfare, optimizing travel time and minimizing expense, will be supported where airfare is the most economical option.
  • Full registration fee at the early-bird rate.
  • Hotels booked at competitive rates (conference, university, government, CMA rates).
  • Meal allowance at MUN’s per diem rate (if meals are not included in conference registration).

Staff may be sponsored when the conference is related to the academic needs of the discipline. Part-time faculty may be sponsored when the conference is related to the academic needs of the discipline.

All requests for DFM supported funding for conferences must be submitted to the Chair’s Office for approval by the Chair or his/her delegate. Travel Request forms are available from the Chair’s Office.

Funding requests will be reviewed where funding is not covered by other sources e.g. Research funding agencies; non-DFM departments within the Faculty of Medicine or the university.

Submitting a Travel Request to the Chair’s Office is required in order to be considered for funding. The Chair will review funding requests three times a year. All funding requests need to be submitted to the Chair’s Office by the dates referenced below (guidelines are provided for the conferences listed); those not listed would need to be submitted with enough time for approval prior to their early bird registration date):

This policy will be updated annually.
