Fuel & EV charging
The university has a contract with a vendor to provide fuel, electric vehicle (EV) charging, and maintenance services for the university fleet. Each fleet unit will receive a fleet card for fuel/EV charging and maintenance needs. Any authorized operator assigned to the fleet unit can use the fleet card (where appropriate).
Fuel
The fleet card can be used at Canada’s top national fuel suppliers. The fleet lead will provide instructions to the department on the appropriate usage of the fleet card for fuel purchase. Please see the general information below:
Fleet card holder responsibilities:
- Use only the fleet card assigned to the unit
- Obtain a receipt after each fuel purchase and return it to your supervisor
- Keep your PIN confidential; do not share it with anyone. Report any misuse of the fleet card to your supervisor and to the fleet lead
- Report a missing card to your supervisor and the fleet lead
Departmental responsibilities:
- Review transactions online regularly to verify odometer readings and identify any unusual transactions
- Reconcile fuel purchases. Ensure reconciliation is performed by someone who is not a fleet card user. Please notify the fleet lead of any discrepancies
- Please notify the fleet lead of any lost or stolen cards
EV Charging
All EV charging stations are contactless. To use the fleet card for EV charging, you must download the charging app necessary for the charging station being used (e.g., Charge Point Canada, Charge Hub). Departments with electric vehicles in their fleet will receive further instructions for using the payment card for EV charging.
