Please note that the following information relates to invigilated tests and exams in online courses only. For non-invigilated assessments, or for assessments in on-campus courses, please refer to the course syllabus and/or inquire with the instructor if you have any questions.

1. Exam Location

The location of your paper-based tests and exams for your online courses is determined by the Online Learning (OL) address you have provided in Memorial Self Service. It is therefore very important that you provide an accurate OL address in that system, to ensure your exam is arranged in the correct location.

To update or enter your OL address:

  1. Log in to Memorial Self Service
  2. Navigate to Personal Information > Update Addresses and Phones
  3. If the OL address displayed is out of date, click Current under the Online Learning (OL) Address heading to update the address on file
  4. If no OL address is displayed, select Online Learning (OL) Address from the “Type of Address to Insert” dropdown menu and click Submit to enter your OL address

St. John’s or Grenfell Campus

You will write your exams for your online courses at the St. John’s or Grenfell campus if either of the following applies to you:

  • You are enrolled in any courses that have on-campus section numbers for the St. John's or Grenfell campus
  • You reside within 80km of the St. John’s or Grenfell campus (based on your OL address in Memorial Self Service)

Newfoundland and Labrador

If you are taking online courses only and you reside within Newfoundland and Labrador, you may be eligible to use online proctoring (OP) via ProctorU for the exams in your online courses. Note that this is determined on a course-by-course basis, depending on whether the course offers the option of OP or not.

If you would like to use OP and you have confirmed that your courses offer that option, please complete the Examination Supervisor Form (available on the CITL Forms page) to agree to use OP.

If your courses do not offer the option of OP, or if you prefer not to use it, you will be set up to write your exams at an established exam site based on your OL address in Memorial Self Service. Although every effort is made to arrange exams in the area you reside, you may have to travel to another exam site, within a distance that is deemed reasonable according to CITL’s guidelines.

Outside Newfoundland and Labrador

If you live outside Newfoundland and Labrador, please complete the Examination Supervisor Form (available on the CITL Forms page). This will enable you to agree to use OP (if your courses offer that option), select an established exam site from a list, or propose an exam supervisor if a site is not available in your region.


2. Exam Schedule

You may view your exam schedule for your online courses in Memorial Self Service as follows:

  1. Log in to Memorial Self Service
  2. Navigate to Student Main Menu > Online Learning
  3. Select View Exam Schedule for Online Courses

Exam schedules for online courses can also be viewed on your Brightspace homepage, in the My Dashboard section.

If your exam schedule is not available, please contact us via the CITL Support Centre.

Term Tests and Midterm Exams

Term tests and midterm exams in online courses are typically scheduled for Friday evenings or Saturdays, though they are not restricted to those days.

Note: In the weekend prior to midterm break, tests and exams are scheduled for the Thursday or Friday evening leading into midterm break, rather than the Friday and Saturday. Please check the University Diary to determine the beginning of midterm break.

Exam schedules for term tests and midterm exams will be available in Memorial Self-Service upon finalizing dates, times, and locations.

Final Exams

Final exams are scheduled by the Registrar's Office in accordance with the university's academic diary. Schedules will be posted by the Registrar's Office toward the middle of the semester, and will be available in Memorial Self-Service upon finalizing dates, times, and locations.


 

3. Change of Exam Site

If circumstances prevent you from writing an exam at your regularly scheduled site, please complete a Change of Exam Site Form (available on the CITL Forms page) to apply to write your exam at an alternative site.

Requests to change your exam site must be submitted at least 14 days prior to the exam date to ensure timely delivery of the exam to the requested site. Approval of requests is not automatic; CITL reserves the right to refuse requests for changes in exam sites.

Please note there is a $50.00 fee to change your exam site for each exam that has already been scheduled in Memorial Self Service.

Note: Changing your address in Memorial Self Service does not automatically result in your exam site being changed. You must complete the Change of Exam Site Form to officially request a change to your exam site.

4. Deferring an Exam

If you are unable to write an exam due to illness, bereavement, or other acceptable cause, you may apply, with supporting documents, to have the exam deferred. Please download and complete a Request for Deferred Exam Form (available in both PDF and Word formats on the CITL Forms page). The completed request and supporting documents must be submitted no later than 48 hours after the original exam date.

  • For term tests and midterm exams, the request form and supporting documents should be submitted to your instructor.
  • For final exams, the request form and supporting documents should be submitted to the head of the appropriate academic unit. The list of departmental contacts is available here.

Granting of a deferred exam is not automatic, and is at the discretion of the instructor or academic unit head. For term tests or midterm exams, instructors may opt to prorate grades in lieu of a deferred exam, or may require a comprehensive final to be written.

Please note there is a $65.00 processing fee for each approved deferred exam.

Please visit your exam schedule for your online courses in Memorial Self Service regularly to ensure you get the most up-to-date information for any approved deferred exams. To view the information for a deferred exam, you must select the term in which the course originally took place.

If you need to make changes to a deferred exam that has already been scheduled, please contact us via the CITL Support Centre.


5. Postponement of Exams

Inclement weather or other unforeseen circumstances such as power outages may result in the postponement of exams for online courses, either at the St. John's campus, Grenfell campus, or at any one of the exam sites used by Memorial University.

John’s Campus

For exams scheduled at the St. John's campus, postponements will be communicated in the following ways.

Grenfell Campus

For exams scheduled at the Grenfell campus, postponements will be communicated to you by a CITL staff member via email. If you have any questions or concerns, you can call the Grenfell Registrar’s Office at 709-637-6298 (Monday-Friday, 8:30-4:30).

Off-Campus

For exams scheduled outside of St. John's or Grenfell campuses, students should contact their exam supervisors.
